Steps

1. Scan and upload immediately after the test

While students are still writing the last section, scan each room's collected sheets into PDFs and upload them to one batch with the exam's answer key attached.

2. Process and download the Excel result

Press Process, watch the live status finish, then download the combined Excel result sheet.

3. Sort into a rank list

In Excel, sort by total score descending, add a rank column (1, 2, 3…), and keep only the display columns — roll number, name, score, rank.

4. Print and share the same evening

Print the rank list for the notice board, send the marked PDFs to students, and drop the top-10 summary into the parents' group — all before the next class.

A rank list that comes out the same evening does more for motivation than any lecture — students see where they stand while the paper is still fresh. With CheckOMR (By Navodaya Study) the checking itself takes minutes; this tutorial is about the workflow that turns those minutes into a published list before students go home.

Why same-day matters

  • Honest attempts stay discussed. Students remember their answers for hours, not days — a same-day list feeds real doubt-solving.
  • Momentum for the next test. A visible rank on the board by tomorrow morning changes how the batch prepares all week.
  • Parents hear it from you first. The evening summary message beats playground gossip as the source of record.

Before you start

  • The answer key for this exam already created, with scoring rules set.
  • One person assigned to scanning — the workflow below assumes scanning starts while the test is still running.

Steps

1. Scan and upload immediately after the test

Collect sheets room by room as the test ends and scan each room into its own PDF (see the multi-room tutorial). Upload all PDFs into one batch with the key attached — while students are still packing up. Even if the batch processes while students walk out, you win.

2. Process and download the Excel result

Press Process and watch the live status. In a couple of minutes, download the combined Excel result sheet. If a couple of sheets failed, don't block the list: publish with a "results pending for X students" note and re-scan those papers in parallel.

3. Sort into a rank list

Open the Excel and make it display-ready:

  1. Sort by total score, descending.
  2. Add a Rank column: 1, 2, 3, … down the sorted rows.
  3. Keep display columns only — roll number, name, score, rank. (Keep the full sheet as a separate tab for your records.)

Two optional touches that students appreciate: a top-10 highlight and a section topper column if your paper has sections.

4. Print and share the same evening

  • Notice board: print the rank list — the physical list still carries the most weight.
  • Students: send each one their marked PDF (WhatsApp works well).
  • Parents' group: a short summary — topper, class average, and "checked sheets going home today".

From last sheet collected to printed list is routinely under an hour with checking itself taking two of those minutes.
