Run a multi-room exam and check every room in one batch

Steps
1. Scan each room into its own PDF
Collect Room 1's sheets, scan them into room-1.pdf; repeat for every room. One room per PDF keeps order clean and re-scans easy.
2. Create one batch for the whole exam
In CheckOMR, create a new batch named for the whole exam — e.g. "JNVST Full Mock Sept". Do not create a separate batch per room.
3. Upload all room PDFs together
Drag every room's PDF into the same batch. They are processed as one unit with live status tracking per file.
4. Attach keys and download the combined result
Attach the answer key covering all booklet codes (A–D), process, and download one combined Excel result plus marked PDFs for every room.
Running a big mock means several exam rooms — and several piles of OMR sheets. Why one batch (not one per room)
A combined batch gives you:
- One true rank list — scores from all rooms sorted together, which is the point of a common exam;
- One answer-key setup — attach your booklet-code keys once;
- Simple history — the exam lives under one name in batch history, not six fragments.
Separate per-room batches force you to merge Excels by hand — the exact transcription work you automated to avoid.
Before you start
- Sheets collected room by room, kept separate.
- A scan app or scanner per the scanning tutorial.
- The answer key covering every booklet code used in the exam.
Steps
1. Scan each room into its own PDF
Finish Room 1, scan its stack into room-1.pdf, then Room 2 into room-2.pdf, and so on. Keeping rooms in separate files costs nothing — it just makes order obvious and a re-scan (one failed sheet) painless to locate.
2. Create one batch for the whole exam
In CheckOMR, create a new batch named for the whole exam — e.g. "JNVST Full Mock Sept". One exam, one batch.
3. Upload all room PDFs together
Add every room's PDF into the same batch. CheckOMR processes them as one unit with live status tracking — you'll see each file's progress and any failed sheets by file, which tells you instantly if one room's scanning went wrong.
4. Attach keys and download the combined result
Attach the answer key covering all booklet codes used (A, B, C, D). Process, then download: the Excel result is a single combined sheet — every student from every room, real ranks across the whole exam — plus marked PDFs for each student.
If a room has a problem after upload
One room's scans came out dark, and five sheets failed? Only that room needs re-scanning. Scan the failed papers into a small PDF, create a fresh mini-batch with the same key, and process — then merge nothing: the main batch's combined Excel plus the mini-batch's rows cover everyone.
Quick checklist for exam day
- Room invigilators collect sheets face-up, same orientation.
- One person scans per room right after the test — flat light, corners in frame.
- Name files by room; name the batch by exam.
- Upload all PDFs before the answer-key deadline your team agrees on.
